Office AdministratorA fast growing Independent Medical Examination office is seeking a poised, articulate, and highly organized individual to work with their team as a full time Office Administrator.
This is a family owned business where team members' contributions are highly valued and hard work recognized.
The ideal candidate will have had previous work in either a medical or legal office, have exceptional communication skills (both written and verbal), be extremely detail oriented, feel comfortable managing simultaneous projects, and place a high value on customer service.
Strong interpersonal skills and professionalism are a must.
Also, previous employment or association with Independent Medical Examination (IME) companies is very beneficial.
Key Duties:
- Use Microsoft Office as directed to track and maintain medical records and correspond with clients/doctors.
- Utilize Web-based applications to track work in progress.
- Use Google Calendar to maintain multiple doctor calendars.
- Print, save, and electronically organize medical records from multiple file types and sources.
- Keep meticulous documentation of multiple files.
- Greet doctors and patients and offer assistance as needed.
- Confirm medical appointments with patients.
- Oversee clinic operations including maintaining cleanliness and chaperoning exams as needed.
- Sort, package, and ship records and other large documents.
- Run errands and make pickups and deliveries as requested.
- Complete projects as directed that are related to the growth and improvement of the clinic.
Qualifications:

years of full time office experience or ability to show proficiency in the following areas:
- High degree of accuracy with time-sensitive, detailed information.
- Communication:
Professional and extremely strong both verbal and written.
- Computer and office equipment:
MS Word, Excel, and Outlook, 10-key, and using Web-based applications.
Familiar with operation and maintenance of printers, scanners, and fax machines.
- Organizational skills:
Timely, extreme attention to detail, ability to meet deadlines.
- Must be able to follow instructions and ask questions.
- Demonstrate the ability to learn quickly and take initiative to improve processes and customer services.
- Develop and maintain strong personal relationships with physicians, clients, and office staff.
- Must be flexible and able to adapt to individualized preferences for physicians and clients.
Additional Requirements:
- Verifiable work experience.
- Ability to pass background check and drug screen.
- Flexible working hours.
Compensation is hourly and based on experience.
